Setup - Defining and accessing Data Sources

Create and provide secure access to all types of Data Sources

Overview

This document will assist in the creation and access controls for Data Sources used in the the SurePath AI Portal, Assistants, and Shortcuts.

All Data Sources require a Connector to work. Please create the Connector before attempting to add a data source.

High Level Steps

These steps apply to all types of Data Sources

  • Previously created a SurePath AI Connector

  • Create a Data Source

  • Enable secure access to the Data Source

AWS Knowledge Base

Prerequisites

Procedure

  • Connect to and login to SurePath AI at: https://admin.surepath.ai

  • Navigate to Data Sources > Add Source

  • Name will be displayed to users.

  • The Connector must be AWS and be in the same region as the Knowledge Base

  • Type should be Bedrock Knowledge Base

  • The Knowledge Base Id can be gathered from AWS

  • The bottom name is the name of the KB in AWS.

  • SAVE when done.

  • Once saved, you can go to the section of this document titled: Enable secure access to a Data Source

Microsoft SharePoint Data Source

Do NOT use this if you are using AWS Knowledge Bases.

Prerequisites

Please note that you do NOT need admin access to SharePoint. You will use the credentials in the SharePoint Connector.

Procedure

  • Enter an appropriate name for the Data Source

    • This name will be visible to all users/groups that are given access

  • Select the Connector previously create that provides access to the SharePoint site.

  • The Type and Connector Base URL will be automatically filled in for you.

  • Fill in the Site value and click Add

  • Validate that the site you entered is now in the Sites list.

  • Add additional Sites to be part of this same Data Source if needed

  • Modify the Scan Schedule if needed (how often the Site is scanned for updates)

  • Click SAVE when ready

  • The Data Source will move into the PENDING state while the Site is indexed.

    • This makes a tokenized copy of the data in the SurePath AI environment.

  • You now need to provide access to this Data Source if you want your users to access it.

Enable secure access to a Data Source

Prerequisites

  • Admin access to SurePath AI

  • Previously created Data Source (from this document)

Default Policy Procedure

This procedure will allow ALL end users of the SurePath AI Portal access to the Data Source. Follow the Group Policy Procedure if needed for security.

  • Navigate to Default Policy > DATA SOURCES

  • Select the Data Source from the Available list and click the right arrow ">" to move it to the Assigned list.

  • You should now see it in the Assigned Data Sources list.

  • Move other data sources either to or from the Assigned list as needed.

  • Validate you have the appropriate Data Sources assigned to the Default Policy.

  • Click SAVE CHANGES when you are done

Security Group Procedure

This procedure will assign the Data Sources only to the end users in the Group you have selected.

  • Connect to and login to SurePath AI at: https://admin.surepath.ai

  • Navigate to Group Policies

  • Select the Group Policy that you want to add the Data Sources to.

  • Select the Data Sources tab

  • Move data sources from the Available and Assigned colums as needed using the arrows

  • SAVE CHANGES when you are done.

Access/Security Verification

Once you have added a Data Source to either the Default Policy or a Group Policy you can validate the changes one of the following procedures.

In Portal verification

This can only be done if your login has the same access as the the end users, or the data sources was added to the Default Policy.

In Admin verification

Use this procedure if you are adding Data Sources to a Group that your login does not have access to. This will ensure that you performed the procedure correctly and that it was applied to the user / group that you expected it to.

User Profile

  • Connect to and login to SurePath AI at: https://admin.surepath.ai

  • Navigate to Users and Groups > End Users

  • Select the ">" arrow for the end user you would like to verify with.

  • Scroll down until you find the Data Source in the Default Policy or the Group Policy that you expected it in.

Directory Services Group Profile

  • Navigate to Users and Groups > Groups

  • Select the ">" arrow for the end user you would like to verify with.

  • Scroll down until you find the Data Source in this groups policy

  • Please note that the name of the policy is from the Group Policies that you attached it to above in this document, not the name of the Directory Services Group (which you are looking at now.

  • You can click the View Policy link to go directly to the policy for changes if needed.
